Essential Trip Information

Travel Documents

Passport

To travel internationally, you will need a valid passport. Here are some important points to keep in mind:


  • Apply Early: If you don't have a passport, apply for one as soon as possible. The application process can take longer than expected.
  • Validity: Ensure your passport is valid for at least six months beyond your return date.
  • Blank Pages: Your passport must have at least one blank page for each country you plan to visit.
  • Accuracy: We need your passport information to finalize your trip arrangements. Make sure the details you provide during booking match your passport exactly.
  • Carry Copies: We recommend carrying a copy of the photo page of your passport with you while traveling. Additionally, leave a copy with family or friends at home, just in case. 


Visa

Obtaining the correct visa for your trip, including any transit countries, is your responsibility. Here are some key points to help you navigate the visa process:


  • Check Requirements Early: As soon as you book your trip, check the visa requirements for each country you will visit or transit through. This will give you ample time to prepare your documents and complete the application process.
  • Government Resources: Use your government’s foreign travel advisories and consular websites to find the most up-to-date entry requirements for your nationality.
  • Processing Time: Visa applications can take time to process, so it's important to start early to avoid any last-minute issues.

Travel Insurance

Travel Insurance

Travel insurance is mandatory for all our international trips. Here’s what you need to know:


  1. Minimum Coverage: Your insurance must cover medical expenses, including emergency repatriation.
  2. Domestic Travel: If you are traveling within your home country or region, ensure you can easily access the public medical system in case of an accident.
  3. Recommended Coverage: We strongly recommend a policy that includes personal liability, cancellation, curtailment, and loss of luggage or personal effects.
  4. Proof of Insurance: For international trips, you will not be allowed to join the group until you provide evidence of travel insurance and the insurance company's 24-hour emergency contact number to your trip director


Special Note for Credit Card Insurance Holders:
If you have travel insurance through your credit card, your trip director will need details of the participating insurer/underwriter, the level of coverage, policy number, and emergency contact number. Ensure you obtain these details from your bank before departure.


European Union, Switzerland, and USA Residents

While we highly recommend travel insurance for all travelers, it is not compulsory for residents of the EU, Switzerland, or the USA. However, if you choose not to purchase travel insurance when traveling outside your home region, you must sign a Travel Insurance Waiver Form at the Group Meeting, accepting personal responsibility for any emergency medical and repatriation costs.


Important: 

Shop around for the best deal and choose a policy that suits your trip. Provide us with a copy of your policy and carry the details with you during your travels. This ensures you are well-prepared for any unforeseen circumstances.

Medical & Health Information

Doctor Consultation

  • Specialist Consultation: Visit a general practitioner with travel experience or a specialist travel doctor. They will provide the most up-to-date information on necessary health precautions.
  • Timing: Schedule your doctor visit at least three months before departure to ensure all necessary preparations are made.

Vaccinations

  • Necessary Vaccinations: Consult your doctor about required and recommended vaccinations for your destination. Some vaccinations need to be administered well in advance, so early consultation is crucial.
  • Documentation: Carry your vaccination records with you, as some countries may require proof of specific vaccinations upon entry.

General Health

  • Physical Readiness: All travelers must be in good physical health to fully participate in the trip. If you are unwell before departure, please stay home and contact us to make alternative arrangements.
  • Trip Suitability: Carefully read through the itinerary to assess your ability to manage and enjoy the travel style. If, in the opinion of our trip director or local staff, a traveler cannot complete the itinerary without undue risk to themselves or the group, we reserve the right to exclude them from all or part of the trip without a refund.

Preparations

  • Medications: Carry a first aid kit and any personal medications in their original packaging, as they may be difficult to obtain while traveling. Ensure you check your government’s foreign travel advice for any local restrictions or requirements regarding medications you plan to bring.
  • Health Information: Consult your doctor for the latest travel health information before departure.

COVID-19

  • Health and Safety Priority: The safety and well-being of our travelers, leaders, crew, staff, and suppliers remain our highest priority.
  • Entry Requirements: While we have no specific vaccination or testing requirements, some regions may still enforce COVID-19 vaccination or testing protocols. Check your government’s foreign travel advice website for additional requirements.

Money

General

As with all international travel, it's important to be cautious with your money. Avoid visible money belts and consider carrying a mix of cash in the relevant currency and a credit card. A travel Visa debit card can be a good option to ensure your main accounts are not accessible if your card is lost. Always exercise caution when withdrawing cash from ATMs, just as you would at home.

Credit Cards

Most larger hotels, upscale shopping centers, and restaurants in major towns and cities accept credit cards, with Visa being the preferred card in East Africa. However, credit cards are rarely accepted outside main city centers and often incur a 5% surcharge. 


Notify your bank of your travel destinations and dates to prevent any issues with your card being blocked. For detailed geographic acceptability, visit visa.com or mastercard.com.

Currency

  • EUROPE: The Euro (EUR) is the official currency in the following destinations: Andorra, Austria, Belgium, Cyprus, Estonia, Finland, France, Germany, Greece, Ireland, Italy, Kosovo, Latvia, Lithuania, Luxembourg, Malta, Montenegro, the Netherlands, Portugal, Slovakia, Slovenia, and Spain. Other European countries have their own national currencies.

Cash

You can use your credit or debit card at ATMs, which are common throughout most of the destinations MPE travels. Check with your bank beforehand about any fees for international card usage. Card payments are not always accepted in stores and restaurants, so it’s advisable to carry some cash for these instances.

Spending Money

Budget an appropriate amount for optional meals, drinks, shopping, activities, and laundry based on your spending habits. Review the itinerary and inclusions carefully to understand what is covered in the trip price and what additional expenses you might incur.

Tipping

Basic gratuities are included in the cost of your trip. However, for occasions when tips are not included, here are some best practices for most destintations:


  • Local Cafes and Basic Restaurants: Round up your bill to the nearest $1 USD.
  • Up-market Restaurants: 5% to 10% of your bill.
  • Local Guides: $10 USD per day.
  • Dedicated Private Drivers: $15-$20 USD per day.
  • Trip Director: $20-$30 USD per person, per day for outstanding service.


You are free to tip more or less based on the quality of service and your personal preference. We recommend budgeting approximately $15-$25 USD per day for tipping.

Contingency Funds

We aim to plan for every eventuality, but some situations are beyond our control. In emergencies (e.g., severe weather, natural disasters, civil unrest), itinerary changes may be necessary, and additional costs will be covered by you. We recommend having access to an extra $500 USD for emergencies. This amount is suggested in USD for universal relatability, but local currency may be needed once in the country to cover these costs.

Food & Dietary Requirements

General

While traveling with us, you'll have the opportunity to explore a wide variety of delicious cuisines from around the world. Your trip director can recommend restaurants to enhance your culinary experience. To provide you with flexibility in choosing where, what, and with whom to eat, not all meals are typically included in the trip price. This flexibility also allows for better budget management. Although our groups often dine together to enjoy a diverse range of dishes and each other's company, participation is optional.

Vegetarian Options

Vegetarians may find the menu selection in Europe less diverse compared to what they are accustomed to at home. Vegetarian options typically include vegetables, soups, salads, bread, cheese, fruit, yogurt, and eggs. Vegans and those on gluten-free diets may face challenges in this region and might need to supplement their meals with items purchased from supermarkets or local markets. While we strive to accommodate dietary needs for included meals whenever possible, there may be occasions where individuals with special requirements need to provide their own food.

Allergies

Please inform us of any allergies and their severity before your trip. We make every effort to accommodate your dietary needs and ensure your safety. While we strive to provide allergen-free meals when notified in advance, travelers with severe allergies may need to supplement meals or carry necessary medications.

Breakfasts

Continental breakfasts are typically included on trips and usually consist of bread or pastries, butter, jam, and beverages such as coffee, tea, or juice.

What to Pack

Clothes

  • Footwear: Sandals, comfortable walking shoes, spare socks (multiple pairs).
  • Clothing: Lightweight and quick-drying clothes suitable for various weather conditions. Include long trousers, shorts, short-sleeved shirts, t-shirts, and a long-sleeved shirt or two.
  • Outerwear: Coat or jacket appropriate for climate and season.
  • Nightwear: Cotton pajamas.
  • Swimwear: Essential for water activities.
  • Rain Gear: Lightweight waterproof raincoat or poncho.
  • Accessories: Hat and sunglasses.

Personal Items

  • Toiletries: Biodegradable soap, toothpaste, and sanitary bags.
  • Vision: Spare prescription glasses, contact lenses, and saline solution.
  • Personal Care: Nail files, clippers, and biodegradable facial wipes.
  • Sun Protection: Sunscreen (SPF 30+).
  • Health: Earplugs and a basic first aid kit.
  • Photography: Camera, batteries, and recharge units.
  • Electronics: European adaptor plugs.
  • Documents: Waterproof bag for passport and other important documents.
  • Carrying: Small daypack for daily essentials.
  • Luggage: Soft suitcase around 60 liters (60L) is recommended for easier transportation. These pack more efficiently into transportation vehicles than hard suitcases.

Packing Tips

  • Weight: Pack as lightly as possible as you'll be carrying your own bag for short distances (up to 30 minutes). Aim to keep your bag under 10kg (22lb).
  • Bag Type: A backpack is ideal for most travelers, but an overnight bag with a shoulder strap can suffice if packed efficiently. Bags with wheels are convenient, but ensure they have carry straps for navigating uneven terrain.
  • Day Trips: Bring a day pack for carrying essentials like water and a camera during day trips.

Reusable Water Bottle

  • Reusable Bottle: Bring your own water bottle to refill along the way. While it can be challenging to avoid bottled water entirely, use water dispensers provided on our vehicles and at accommodations where available.
  • Tap Water: Your trip director will advise on the safety of tap water in each destination. When safe, refill your bottle with tap water to minimize plastic waste.

Climate & Seasons Info

Summer

Summer brings high temperatures, often exceeding 40°C (104°F) in many visited regions, which can be quite uncomfortable. It's crucial to use adequate sun protection and stay hydrated by drinking plenty of water. Consider the timing of your travel carefully and assess your comfort with the summer heat.

Shoulder Season

During the shoulder season, weather conditions can be unpredictable, and higher altitudes may experience occasional snowfall. If you're traveling at the beginning or end of the European season, pack accordingly with layers of warm and waterproof clothing. One advantage of traveling during this period is fewer tourists, allowing for a more serene experience.

Researching Local Climate

Before your trip, research the local climate for your destination during the specific time of your travel. Understanding the typical weather patterns will help you pack appropriately and prepare for any unexpected conditions that may arise.

Safety

Register with Your Embassy

Before departing, register with your country's travel registry if available. In the event of an emergency in your destination country, your embassy will have information about your whereabouts.

Government Travel Advice

Most national governments offer updated foreign travel advice regarding safety concerns abroad. It's recommended to review your government's latest travel information before departure and ensure your travel insurance covers all destinations and activities on your itinerary.

Personal Security Measures

  • Neck Wallet or Money Belt: Use a neck wallet or money belt to securely store your passport, flight tickets, cash, and other valuables.
  • Leave Jewelry at Home: Forgo unnecessary jewelry during travel.
  • Safety Deposit Boxes: Utilize safety deposit boxes available in many hotels for secure storage of valuables.
  • Luggage Security: Use a lock to secure your luggage.

Trip Director Guidance and Free Time

Your trip director will accompany you on included activities. During free time, your trip director can provide information on local options, but please note that any optional activities are not part of the itinerary. Exercise personal judgment regarding the safety and standards of these activities.

Trip Itinerary Adjustments

For safety reasons, your trip director has the authority to modify or cancel any part of the itinerary as necessary.

Fire Safety

Be aware that local regulations regarding fire safety in accommodations may differ from those in your home country. Not all accommodations may have fire exits, fire extinguishers, or smoke alarms.

Traffic and Road Safety

  • Driving Differences: In some regions, drivers may operate vehicles on the opposite side of the road from what you're accustomed to. Always check both ways before crossing streets.
  • Traffic Considerations: Traffic can be more chaotic than in your home country. Exercise caution and remain alert.

Petty Theft and Personal Safety

  • Risk Awareness: Be mindful of pick-pocketing and petty theft, especially in tourist-heavy areas.
  • Night Safety: Avoid walking alone at night. Stick to well-lit and main thoroughfares, and consider walking with others.
  • Public Transport: Stay vigilant while using public transport.
  • Safety Measures: Carry your day pack in front of you, avoid leaving bags unattended or on the back of chairs, and consider using a money belt for added security.

Final Checklist for your Trip

A review of important actions and documents

  • MPE Welcome Letter: Review the welcome letter provided by MPE for essential trip information.
  • Airline Ticket and Itinerary: Ensure you have your airline tickets booked and itinerary details handy.
  • Passport Validity: Check that your passport is valid for at least six months beyond your return date.
